How to manage employee access to a case
Last updated: October 17, 2026
Every case in Hadrius has its own access list, separate from broader account permissions. Use this workflow when you need to control which colleagues can see or work on a specific case — for example, when a new team member joins an ongoing review, or when someone's involvement should be limited to viewing rather than editing case content. Only the case manager can make these changes, and only while the case is active (ongoing); access controls are locked once a case is resolved or archived.
Opening a case's access settings
From the case list, open the case you want to manage. On the case details page, a Manage access button appears at the top of the screen. If you're the case manager and the case is still ongoing, this button is active; otherwise it's disabled, with a tooltip explaining why (either the case isn't active, or you don't have manager-level access to it). Clicking Manage access opens a side panel where you control exactly who can see or work on the case.
Adding an employee
In the panel, use the Internal access search field to look up the colleague who needs access by name. Selecting them from the results adds them immediately to the "Employees with access" list below — but only to the panel's working list. Access isn't actually granted until you save.
New employees are added at View access by default, which lets them see the case without making changes.
Adjusting permission levels
Each person listed in the panel has their own permission dropdown, so you can set access individually rather than applying one level to everyone. Switching someone from View to Edit lets that employee make changes to the case — not just view it. You can change any listed employee's level at any time before saving, and you can add or adjust multiple people in the same session before committing the changes.
Removing access
To remove someone, use the trash icon next to their name. If they already had access to the case, you'll be asked to confirm the removal, since they'll immediately lose the ability to view or edit the case once the change is saved. If you're removing someone you just added in this same session (who doesn't have access yet), they're removed from the list without a confirmation prompt. A Clear all button is also available at the bottom of the panel if you want to reset the entire working list back to empty.
Note that the case manager themselves doesn't appear in this list and can't be removed or reassigned here — the panel only manages access for other employees.
Saving your changes
When the list of employees and permission levels looks right, click Save. This syncs the case's access list in one step: any employees you removed lose access, any you added are granted access at the level you set, and any changed permission levels are applied — so only the people you've chosen can reach the case afterward.
Reviewing access afterward
You can review the full access list at any time from the case's Access tab, which shows every employee with access, their role (Manager, Edit, or View), and the date they were added. From this tab, the case manager can also adjust an individual employee's permission level or remove their access directly, without opening the full "Manage access" panel — though these controls only appear while the case remains active.
