How to export email search results for a single employee

Last updated: October 17, 2026

Use this workflow when you need to pull together every email message tied to one specific employee — for example, when responding to a supervisory review request, an audit inquiry, or an internal investigation. It walks you through narrowing a communications search down to a single person and exporting that result set as a file you can save or share.

Step 1: Start from the communications search

From the communications archive, open the email search. This is your starting point for pulling together every message associated with a given employee, regardless of what role they played in the conversation (sender, recipient, or cc'd participant).

Step 2: Filter the search to a specific person

Before narrowing further, switch the search to look at people rather than general message content — this ensures your results are tied to specific individuals rather than keywords or topics.

  1. Open the Filters panel to get more precise control over who and what you're searching for.
  2. In the People/groups section, use the People field to find your employee. You can either select them from the list or type their name directly into the Search people... box if that's faster.
  3. Selecting the employee applies the filter immediately — there's no separate confirm step. As soon as you pick them, the search narrows to just their messages.

With this filter set, the results already reflect flagged and unreviewed items involving this employee, across every role they might play in a conversation — as a sender, recipient, or participant. This is the default review queue view, so you're seeing the messages most likely to need attention without any extra configuration.

Once you've confirmed you're looking at the right person, close the Filters panel to return to the full results view.

Step 3: Export the results

With your filtered result set in place, you can turn it into a file. Open the More actions menu and select Export.

A confirmation dialog appears showing how many matching emails will be included. Confirm by clicking Export search to kick off the export in the background. You'll see a toast notification when the export starts, and another when it finishes.

Step 4: Find your export

Once the export completes, you can jump straight to it from the completion notification, or find it later from the main Exports section under Account Settings — so it's easy to locate again even after you've navigated away.

What happens next

Exports run in the background, so you're free to continue working while the file is prepared. Once it's ready, you can download it from the Exports section at any time.
