How to Create a New Version and Switch Between them
Last updated: October 17, 2026
When a document changes after review, you don't need to create a new document. You can add the revised file as a new version of the same document. This article explains how to upload a new version and how to switch between versions to review or compare them. Use it when marketing content is updated after it has been submitted or reviewed and you want the full history to stay in one place.
Open the document
- Start in the Marketing projects list, which shows every review project for your company, and open the project you want to work on.
- Each project keeps its supporting files together. Go to the documents tab of the project.
- Find the document that has changed and open it.
Upload a new version
- With the document open, open the version menu in the document header. It shows the version you are currently viewing.
- Choose Upload a new version. This opens the upload dialog for the document.
- Add your revised file. PDF, DOC and DOCX files are accepted, one file at a time, up to 50 MB.
- When the file shows as ready, select Submit new version.
The new file becomes the version under review. The previous version stays on the record with its flags and comments, so the full history remains attached to this one document.
Switch to the latest version
Once the new version has finished processing, open the version menu again. It now lists the newest version alongside the earlier ones. Select the newest version to jump straight to it.
The page then shows the latest version with its own content and review context.
Go back to an earlier version
To look at an earlier version, open the version menu and select it from the list. The version you are viewing is marked in the list. Switching versions doesn't change or remove anything, so you can move back and forth to compare what changed.
Tips
- The menu also includes Compare versions, which sets two versions side by side. It is only available once the document has at least two versions.
- If you upload a version by mistake, the earlier versions are still there and you can switch back to any of them.
After you submit a new version, it is the one that continues through review. Earlier versions remain available for reference whenever you need them.
