How to share a case export with an external recipient
Last updated: October 17, 2026
Use this workflow when you need to give someone outside your organization — an examiner, outside counsel, or another external reviewer — temporary, controlled access to the files in a case export. Rather than emailing files directly, Hadrius generates a secure, time-limited share link that only the intended recipient can use to retrieve the export.
Before you start
You'll need an export that has already finished processing. Exports are created from the datasets attached to a case, and sharing is only available once an export's status shows as Complete — if it's still Processing, the share option will be disabled until it finishes. You'll also need editor or manager-level access to the case to share its exports.
Steps
- Find the case. From the cases overview, locate the investigation containing the export you want to share.
- Open the case and go to the Exports tab. Inside the case details, select the "exports" tab to see the generated export folders, organized into separate Email and Instant messages sections.
- Open the actions menu for the export you want to send, and choose "Share." This option only appears for users with editor or manager access, and it's only enabled once the export's status is Complete.
- Enter and confirm the recipient's email address. The Share export dialog requires you to type the external reviewer's email address twice — once in "Recipient email" and again in "Confirm email" — to guard against sending the link to the wrong address. You can also choose how long the link should remain valid (1 hour, 24 hours, or 7 days; 1 hour is the default) and optionally add a short message that will appear to the recipient.
- Select "Create share link." Hadrius generates a unique link tied to that recipient's email — only someone who confirms that exact email address can use it to request the export's download links.
- Copy the link and send it to your recipient. Use the "Copy link" button to copy the generated URL, then deliver it to them through your usual communication channel.
What happens next
When your recipient opens the link, they'll be asked to confirm their email address matches the one you specified. Once confirmed, download links for the export's files are sent to that email and remain valid for one hour. If the share link itself expires or has already been used, the recipient will see a message telling them to contact you for a new one — giving you a fully auditable, access-controlled way to hand off case files to someone outside your firm.
