How to generate and download a branch exam follow-up letter
Last updated: October 17, 2026
The follow-up letter documents the outcome of a branch examination, summarizing which findings still need to be reported to the branch once any related corrective actions have been closed out. Use this workflow after an exam's findings have been reviewed and remediation is underway or complete, and you need a shareable, downloadable record of the exam's outcome for the branch.
Step 1: Find the exam
Start in the branch exam list, where every branch inspection your organization has recorded is tracked. Locate the exam you need a letter for and open it to bring up its full record.
Opening an exam takes you into its detail view, which is organized into tabs covering the exam's scope and timeline, pre-audit work, inspection findings, uploaded evidence, remediation, notes, notifications, and the audit trail.
Step 2: Generate the follow-up letter
From the exam's detail view, open the Follow-up letter tab. This view shows a preview of the letter alongside a list of any previously generated versions. The letter draws together the findings that have been marked for inclusion, so it reflects the issues still worth reporting once corrective action has resolved them — findings that haven't been marked this way won't appear, even if they exist on the exam.
If no letter has been generated yet, select Generate. Hadrius compiles the marked findings, along with the exam's scope, areas examined, and response instructions, into a formatted letter addressed to the branch's person in charge. You'll see a confirmation once it's ready. If a letter already exists and you need to reflect updated findings or remediation activity, use Regenerate to create a new version — prior versions remain available in the version list so you can refer back to them.
Step 3: Download the letter
Once a letter has been generated, select Download to save a finished copy of the current version. This gives you a complete, ready-to-share document you can send to the branch outside of Hadrius.
A note on older versions
If you're viewing a past version rather than the latest one, the download action is replaced with Save as PDF, which opens a print-ready copy of that specific version in a new window.
Generating and downloading a letter this way produces a standalone document for manual distribution. If you instead need to formally issue remediation tasks and the letter together to a branch's person in charge through Hadrius, that release flow is handled separately from the Remediation tab.
