Manually Adding and Inviting Employees to Hadrius
Last updated: October 17, 2026
The People directory is where Hadrius tracks every employee at your firm. Most firms add people in bulk with a CSV upload, but when someone new joins, it is usually faster to add them by hand. This article covers adding a single employee manually, assigning their groups and permissions, sending their invite, and then completing their profile with regulatory details such as a CRD number.
Add the employee
- Open the add form. From the People directory, start adding a new employee. On the "Add employees" page, make sure "Manual" is selected in the toggle at the top right. "Bulk upload" is the CSV option.
- Enter the employee's details. In the "Employee details" section, enter the employee's legal first name and their last name exactly as it should appear in your records. Then enter their email address. Hadrius sends their invite and all compliance notices to this address. First name, last name, and email are required. You can also add a middle name and any additional email addresses.
- Set an employment start date. Under "Employment start date," pick the employee's first day so oversight begins at the right time. The field is optional, but filling it in keeps the employee's record accurate from day one.
- Assign groups. In the "Groups and permissions" section, use "Assign to group(s)" to place the employee in one or more groups. Groups organize your employees and decide which policies and training reach them. New employees are placed in the default employees group automatically, and you can add more groups, such as an executive group, as needed.
- Assign permissions. Use "Assign permission(s)" to control what the employee can see and do in Hadrius. The standard "Employee" permission is selected by default and is right for most staff. Some groups and permission profiles are linked, so choosing one may add its partner automatically. Check both fields before you continue.
- Decide whether to send an invite. In the "Email invite" section, turn on "Send email invite" if you want the employee to get an email with a link to set up their account. The switch is off by default, so leave it off if you plan to invite them later.
- Add the employee. Click "Add employee" at the top right. You'll see a confirmation that the employee was added, and Hadrius returns you to the People directory with the new record in place.
Confirm the record and complete the profile
- Find the new employee. Search the People directory by name or email to check that the record looks right, then open the employee's profile.
- Review quick actions. The "Take action" menu at the top of the profile holds common follow-ups for the employee. These include enabling or disabling their login, deactivating the employee and, for firms with the FINRA integration enabled, "Connect to FINRA" or "Sync FINRA data."
- Add regulatory details. Edit the employee's profile and enter their CRD number in the "CRD" field. This links the employee to their FINRA registration.
- Save your changes. Save the profile. The employee is now fully set up and ready for oversight, and if you turned on the invite, they have received it.
What happens next
If you sent an invite, the employee can follow the link in their email to set up their account and start completing any policies, training, or attestations assigned to their groups. If you didn't send one, you can invite them later once their account is ready.
Note: After an employee has a CRD number, changes to their employment dates may require a Form U4 amendment. For firms with the FINRA integration enabled, those dates are managed through FINRA filings and can't be edited directly on the profile.
