Smarsh Export Instructions
Last updated: November 5, 2026
These steps apply to any communication channel Smarsh captures for your organization - email, chat and collaboration platforms, voice and call recordings, social media, and website archives - regardless of which specific provider sits behind each channel (for example, Microsoft Teams, Slack, Zoom, Bloomberg, WhatsApp, LinkedIn, X, or Facebook). Repeat the export steps once for each content type you need to send to Hadrius. Menu labels may vary slightly depending on your Smarsh product edition (Professional Archive, Enterprise Archive, or Connected
Capture).
Supported content types
Smarsh organizes captured data into the following categories. The specific providers available in your instance depend on what your organization has connected to Smarsh.
Email — Microsoft 365/Exchange Online, Notes/Domino, GroupWise, Salesforce Email, Redtail Email
Instant messaging & collaboration — Microsoft Teams, Slack, Zoom, Skype for Business, Webex, Google Workspace, SharePoint, OneDrive, RingCentral, Instant Bloomberg, and others
Mobile/text messaging — WhatsApp Business, WeChat, Telegram, Zoom, and carrier-based SMS/MMS providers (AT&T, Verizon, T-Mobile, and others)
Voice and call recording systems — Microsoft Teams, Zoom, Cisco, Avaya, Genesys, Instant Bloomberg, and other recording platforms
Social media — LinkedIn, LinkedIn Sales Navigator, Facebook, X, Instagram, TikTok, YouTube, Vimeo
Websites — general website ("WWW") archiving
Export steps
Create a new export. Go to the Exports section at the top of Smarsh and click "Create New Export." Name it clearly (e.g., "Smarsh Export 1") in case you need multiple parts.
Search and select content. Search for the data you want to export, one content type at a time (email first, then each chat/collaboration or messaging platform, then social media, voice recordings, and website archives separately). Select all results and add them to the export. Make sure the total stays under 1 million conversations - Smarsh blocks exports above this threshold and will prompt you to narrow your search criteria.
Do separate exports for each content type. Create a separate export for each content type or channel (for example, one for email and a second for your chat/collaboration platform, whichever provider that is) to keep exports organized, regardless of which specific provider is behind each channel.
Choose format settings. Select Native format when prompted for the export format. Native format preserves each item's original file type and metadata rather than converting it to PDF, HTML, EML, MSG, or XML, which keeps the data usable for downstream processing. Depending on your Smarsh configuration, you may also be prompted for a container type (typically ZIP) and a load format (None, or an EDRM XML manifest if chain-of-custody documentation is required). Optional settings such as removing duplicate messages, including full conversation context/threads, including expanded participant lists, and including metadata can be left at their defaults unless your export requires them.
Add SFTP destination. Click "Add Destination" and enter the SFTP credentials (host, port 22, and login details from the one-time Flashpaper link). This routes the export directly to Hadrius.
Launch the export. Once the destination is set, kick off the export. The orange/red progress bar will disappear when it's complete. Large exports may be split automatically into multiple files, since Smarsh typically caps individual export files at around 1 GB.
Repeat for each remaining content type. Follow the same steps for each additional content type or channel (chat/collaboration messages, social media, voice recordings, website archives, and so on) until every relevant data source has been exported to Hadrius.
