How do I archive emails from Microsoft 365/Outlook?

Setting up Journal Rule

Visit the Microsoft Purview compliance portal. Search for the word "journal" in the search bar, and click on the option that says Data Lifecycle Management > Exchange (legacy).

Conditional

If you see a red banner, click Settings and enter an internal email address to receive Non-Delivery Reports (NDR).

Select + New Rule and enter the following information:

Find your unique journaling address in the Hadrius platform at Email review > Manage > Journal addresses, or this can be provided to you by the Hadrius team. Please note that this address is case-sensitive.

Note: Use the complete email address (e.g., yourcompany-abc123@journaltohadrius.com) wherever you see <archive_subdomain>-<secure_key>@journaltohadrius.com in the instructions below.

Send journal reports to:

<archive_subdomain>-<secure_key>@journaltohadrius.com

Journal rule name:

Hadrius Archiving

Journal messages sent or received from:

Everyone

Type of message to journal:

All messages

Select Next, review the settings, and then Submit to create the journal rule.

Sometimes the journal rule name gets overwritten when you choose which type of messages to journal, so keep an eye out!

Mail Flow Connector

Conditional

If you use an outbound email relay service (such as ProofPoint, Mimecast, Barracuda, etc.), you might have to add a new connector on your Exchange admin center, as the journal rule by itself might not be sufficient.

In the Microsoft Exchange admin center, navigate to Mail Flow > Connectors. Select + Add a connector and enter the following information:

Connection from:

Office 365

Connection to:

Partner Organization

Connector name:

Hadrius Archiving

Use of connector:

Only when email messages are sent to these domains

Domain:

journaltohadrius.com (domain only, not the full email address)

Routing:

Use the MX record associated with the partner’s domain

Security Restrictions:

leave defaults as‑is

Validation email:

<archive_subdomain>-<secure_key>@journaltohadrius.com

Important: In the connector setup, the Domain field requires only journaltohadrius.com (the domain portion), while the Validation email field requires your complete journaling address (e.g., yourcompany-abc123@journaltohadrius.com).
