The Approval Workflow at a Glance

Hadrius provides structure for your teams’ marketing review process. Hadrius default workflow is below:

  1. Initial Submission: The submitter creates a new project in Marketing Review, uploads the marketing materials, and submits them for AI review.

    1. Submitters can also use the document builder to create word documents directly in Hadrius

  2. AI review: Hadrius' AI analyzes each document and leaves flags. (e.g., missing disclosures, prohibited language, performance claims).

  3. Submitter Reviews AI flags: The submitter opens the file in Hadrius and works through the AI flags, resolving or dismissing each one.

  4. Edit outside Hadrius: The submitter makes the needed edits in the original source file (Word, PowerPoint, design tool, etc.) — edits are not made inside Hadrius.

  5. Upload the new version: The submitter uploads the revised file as a new version of the same document, keeping the full version history.

  6. Send to approver: The submitters sends the document for approver review, moving it to the team's queue (status: Pending approver).

  7. Approver review: An approver reviews the document and either approves it, rejects it, or sends it back for edits (status returns to Pending submitter).

  8. Repeat as needed: If sent back, the submitter makes further edits, uploads another version, and resubmits. This cycle repeats until the approver makes a final decision.

  9. Final decision: Approves or rejects the materials. Approved materials are cleared for use; rejected materials may not be used.

In short: submit → AI review → review comments → edit outside Hadrius → upload new version → send to approver → team approves, rejects, or sends back → repeat until approved or rejected.

Can I use my materials before they're approved?

Materials must typically reach Approved status before they can be distributed, published, or shared with clients or prospects. Please check with your Compliance team for guidance on material use.
